Osage Heating & Cooling Columbus, OH 9 trucks · two locations

The office sees the sale before the truck leaves the street

Devon Kraus runs dispatch for nine trucks across two Columbus locations. Signed proposals used to reach him as photos of paperwork. Now they land on his board with the equipment list and the install date already picked.

Devon Kraus and an Osage technician in the driveway of a brick colonial in Columbus beside a new condenser

Osage Heating & Cooling has two shops, one in Clintonville and one in Grove City, and one dispatch board. Devon Kraus runs it. Before Quotient, a signed replacement reached him as a photo of a carbon copy, texted from a driveway, often after dark.

“I would sit there on Monday zooming in on handwriting,” he says. “Was that a 3-ton or a 3.5? Did they want the smart thermostat? Then I would call the homeowner to find out when they were home. By the time it was on the board, the job was three days old.”

A signed job that schedules itself

When an Osage homeowner signs a proposal now, the job goes straight to the dispatch board in Dispatchwell with the equipment list, the deposit and the install window the homeowner picked on the last screen of the proposal. Devon confirms it and orders the equipment from the distributor branch closest to the house.

  • Signature to install dropped from 4.3 days to 2.7 days.
  • No job has been keyed in by hand since March.
  • Equipment is ordered the same day the proposal is signed.

The proposals nobody signed

Devon’s other job used to be chasing open quotes, mostly by not having time to. Quotient now sends a text 48 hours after a homeowner views a proposal and does not sign, in the tech’s name, with the monthly number for the option they looked at longest. Last quarter that text went out 212 times. Forty of those proposals were signed within a week.

Forty jobs is a lot of jobs for a text message I did not have to write.

Osage added its second location’s four trucks to Quotient in the spring. Devon says the board finally looks the same from both shops. “One board, one way of writing a job. That is all I wanted.”
